Shift Posting Procedure!!!

Hi Everyone!

We have had a few mishaps with posting for hours and shifts. We would like to go over the steps you go through when you do post, so you make sure your shift is covered.

1. Fill out a slip near the posting board at the Desk with your name, day, date and hours of your shift.

2. Make sure you fill out one slip per shift!

3. Send out an email (right away!) including all your co-workers and your supervisors with the day, date, and hours of your shift in it. If you are willing to exchange shifts with someone, include that information in the email.

4. Do NOT work out a shift deal or exchange without speaking with a supervisor first!

5. If someone takes your slip,  and you don't see it on the board, look for it in the book and make sure it is initialed by a supervisor. Make sure it is in the right date!!!

6. If someone answers your email, make sure a supervisor answers it as well and puts your slip in the book and the person who has taken your shift has been contacted. It is YOUR responsibility!

7. Talk to your supervisor and find out if your are excused from your shift. Unless you are sick or have an imminent emergency, you need to post, even if you are excused.

8. If you are sick or have an emergency, please do the best you can to call us immediately (413-577-0840) at any time of day!!!

Welcome Back!!!

Welcome back for Spring 2011!!!
I hope that everyone had a fun and relaxing winter break!

A great place to start is with the rules. These are RULES and NOT SUGGESTIONS. Failure to follow these rules will lead to oral warnings, written warnings, or termination. So please read carefully and let me know if you have any questions. It is your responsibility to read and know these rules. I have also made slight changes so even if you have read these many times before please read them again.

****Info Desk Rules!****

1. Look up often and smile! If your head is down and you are too busy with your own work, patrons may not feel comfortable interrupting you. Getting to do homework and look at things online is a privilege. If you can't look up often because you are too engrossed in activities on the computer you will not be allowed to do them. Remember your number one job is to help people! Also ask patrons if they need help, if you see someone wandering around looking lost ask them if they need help.

2. KEEP CONVERSATIONS WITH FRIENDS SHORT - I understand that you will frequently come across friends coming in to the Library. I do not mind you talking for a minute or two but you must keep friends moving. Your number one job is to help patrons and patrons have no idea that the person you are talking to is your friend. ABSOLUTELY NO FRIENDS ARE TO EVER COME BEHIND THE DESK!

3. READ THIS BLOG FIRST THING EVERY SHIFT - I can not stress this enough! It is your responsibility to know of any changes or events that are happening. You must read it from the last time you read it. This MUST be done before Facebook, email, homework, you get the idea.

4. Email. For this job you need to check your email. Usually if I send an email I need to hear back soon so please get back to me A.S.A.P.

5. Swiping. Once you are relieved from your shift you must swipe out. Sometimes I will see that people overlap for 15 minutes. This should almost never happen unless work related. If you want to say a few words to your fellow coworker that is fine but you must swipe out first.

6. Laptops, Headphones, and Cellphones are not allowed at the desk. These devices should be shut off and put away, end of story. This includes text messaging!

7. The Info Desk PC. You should never download or save anything to this PC. If you need to temporarily save a document that is fine but then delete it before you leave for your shift. I will remove anything I find on the PC that does not belong there. Also do not alter or save your own personal information on any of the web browsers!

Do not be late! If you are going to be more than 5 minutes late or out sick please call or text my cell phone. I will email you all this number. If you are working weekend hours you will want to call the Building Operations Desk at 413-577-0840. Do NOT call my cell phone for the weekend shifts.

9. Do not use the Information Desk phone for personal calls unless you get permission from me.

10. If you get a question that you can not answer please record it in the Information Desk Manual. I will then take the questions and answer them for you. Check the blog for answers to your questions. READ ALL questions and answers so you are prepared if you ever get the same question someone else did. Never guess when answering a question!!! Please refer the patron to a desk you think may know and then write the question down in the book so that you will know the answer for the next time. You can also try calling me at my work phone and I may know the answer.

11. No Food! You are not allowed to eat at the Information Desk. You can have beverages if they have a cover or twist top.

12. Make sure you sign in and out for every shift in the "Info Desk Book."

13. Do not hold anything for anyone at the desk*. People sometimes ask that you hold something for them or for a friend who will come by and pick it up. You don't want to be responsible for some one's stuff. They could say that there was something valuable in it when they left it with you. You could also leave and forget to tell the person that relieves you who may think it is something to throw away. Protect yourself and say no! Always let them know that there are lockers that they can store there stuff away on the 2nd, 3rd, 7th and 10th Floors. They get the key from Reserves on the 3rd Floor with a valid UCard.

*The only exception to this rule is is they say they work here or if they are dropping something off for someone who works here. If something gets dropped off at the desk call me or send me an email and I will take care of it.

Note: Don't forget that there are staff coming in and leaving often through the entrance. They do take note of the Information Desk staff and notify me when they see something they feel is inappropriate behavior.



****Things you need to know!****


I changed the password for the Info Desk PC. Please make sure that I show you where it is kept even if you are not an opener just in case you ever need to log back in.

Don't forget to check out all of the tours on the Training/Manual Blog as a refresher! You are responsible for knowing what is there!

Reminder: Look Up and Smile!

Don't forget that part of your job is to look up and smile! People need to feel they can approach the desk and if you are too busy looking at the screen they may feel they are interrupting you. Patrons should not feel this way!

If making a phone call from the desk phone what number do you dial?

If you are making an on campus phone call dial the last 5 digits of the phone number. If dialing off campus you will need to dial 9 and then the last 7 digits of the phone number.

Sign In!!!

Please don't forget to use the "Information Desk Student Sign In" in the drawer. For times when the system is down or there are fire alarms I sometimes need this information. If everyone could please fill this out. Thanks, Miss Information

Just a reminder...

We do NOT hold ANYTHING for ANYONE at the Info Desk. It is that time of year where people will ask you to hold all sorts of things but we can't be responsible for them. So protect yourself and say no!

Info Desk Phone

If you ever see the red message light on the phone blinking it means there's a message. Let a supervisor know so that they can take it.

Don't forget to sign in!

I need everyone to sign the sign in/out sheet every shift! I am required to keep this paperwork as well as using it when something happens to the system and I need to verify.

Just a Reminder!

I realized I may have forgotten to tell any of the new staff about Info Desk PC etiquette. So for some this is new information and for some a refresher.

Never download anything!! Our Systems Department gets very upset when they have to fix our PC because someone downloaded something that ends up messing up the PC. They also don't like to come and fix the PC when it won't shut down because it is full of games which are technically off limits. I personally don't mind if you can play a game and help people at the desk but do not play games that require you to download anything! If the Systems staff get really angry they could really put restrictions on this computer.

Don't save anything on to the PC unless it is temporary! I don't mind if you save a paper or item you are working on but you must either save it to a flash drive (I can show you how) or email it to your self before you leave for your shift.

The Information Desk PC!

Systems had to come down today and remove items from the computer so that it would be able to log out. Please remember that the Information Desk computer is NOT for your personal use. This means that you are not to put software on it or store your personal documents on it. Various programs have been downloaded (including games) to the Information Desk computer. Per Library Systems, downloading of programs to this computer is prohibited. I thank you for your cooperation.

Reminder: Keep Conversations with Friends Short!

In the last few days I have received comments from fellow staff that they have seen some students talking to friends and for quite some time at the Information Desk. This is a reminder to all that you really need to keep conversations with friends short! If I get more complaints in the future I will need to give out written warnings, I hope that it does not come to this.

When did you work?

Just a reminder that people need to make sure that they fill in the sheet at the back of the Info Desk Book when they work. Don't forget to sign in and out for each shift.

If a student would like to leave books for an hour till he/she comes back, where can the student go?

There are lockers on Floors 2 and 5. They go out  for 3 days and patrons can get a key for these at the LC Desk. This is the only place a student (or anyone) can leave something and come back for it later. A patron can not leave anything at the Information Desk to pick up later. There is also a 24 hour hold shelf at the LC desk if you are unable to check the books out because you don't have your U card.

Note from the 4th Floor!

Spring Break is coming up. According to the Conditions of Employment which you signed when you were hired by the University Library, following Spring Break you are expected to continue your Library employment through the final exam period. If you do not plan to return to work after Spring Break, you must notify your supervisor before March 1. Failure to do so will result in forfeiture of your right to work in the library. If you have any questions about this notice, please speak with your supervisor.

Answering the Information Desk phone

When you answer the Information Desk phone please make sure you either say "Library Information" or "Information Desk" and your name. This will make the caller know that they are calling the right place. Do not just say "Hello" because people may feel they have the wrong number.

If staff are calling to report a problem in the building, take a detailed message with their name, their location, the problem they are reporting, and a date/time so we know when it came in if you leave your shift before seeing us. If it is serious enough, radio the supervisors immediately.

No Food

Food is not allowed at the Information Desk so this should not be a problem for any of you. You can have covered beverages at the desk but that is it.

LOOK UP!!!!!!

LOOK UP!!! I can't stress this enough. I do not mind if you use the computer but you need to keep looking up! People should not have to get your attention or interrupt you. There also are staff in the building who are watching to see if you are alert and paying attention. Those complaints could make it so that we can no longer use the computer for personal use when we are not helping someone. I don't want this to happen so please look up often and ask people if they need help.

Also keep conversations with friends brief! If you are talking to a friend a patron may not want to interrupt because they think you are busy. I know it can be hard but you need to keep your friends moving.
